Best Tenant Referencing Services for Private Landlords in the UK
Short answer: The best tenant referencing service for a private landlord is the one that produces a documented affordability decision rather than a score. For most self-managing landlords that means a full reference covering identity, credit history, income verification and a previous landlord reference, costing from around £10.95 for a basic check up to roughly £30 to £50 for a full profile, returned within one to two working days. The landlord pays, not the tenant, under the Tenant Fees Act 2019.
What a private landlord actually needs to verify
A tenant reference should answer four questions.
- Is the applicant who they say they are? Identity verification against credit file and documents.
- Can they afford the rent? Verified income and employment, not a stated figure. The common benchmark is annual income of at least 25 or 30 times the monthly rent, applied as a guide rather than a rule.
- Do they have undisclosed debt? Credit history covering arrears, CCJs, defaults and bankruptcies, including debt linked to previous addresses.
- How did they behave as a tenant? A reference from the current or previous landlord.
A credit check alone answers only two of these. It is the cheapest option and the one most likely to leave a landlord exposed.
Levels of service compared
Service level | What it covers | Typical turnaround | Best for |
|---|---|---|---|
Instant ID and credit check | Identity, credit history, bank validation | Around 1 hour | Pre-screening at viewing stage, short lets |
Referencing only | Employment and landlord references, no credit search | 1 to 2 working days | Where a credit check has already been run |
Full tenant profile | Identity, credit, income, employment, landlord reference, suitability recommendation | Around 2 working days | Standard lets |
Full profile with rent protection | As above, plus insurance-grade assessment | Around 2 working days | Landlords buying rent guarantee |
Guarantor check | Full assessment of the guarantor’s own affordability | 1 to 2 working days | Students, first-time renters, marginal affordability |
Why 2026 changed the calculation for landlords
Before 1 May 2026, a private landlord who made a poor letting decision had two fallbacks: serve a Section 21 notice at the end of the fixed term, or take a large sum of rent in advance. Both have gone. Section 21 is abolished in England and rent in advance is capped at one month.
That leaves referencing as the point where risk is managed. A landlord who lets on a gut feeling and a payslip now lives with that decision on an open-ended periodic tenancy.
Documentation matters too. If you decline an applicant, you should be able to show the decision was based on verified affordability, not on a protected characteristic and not on their receipt of benefits, which is now unlawful grounds for refusal.
What to avoid
- Services that only return a score. A number with no reasoning gives you nothing to act on and nothing to defend.
- Referencing charged to the tenant. Unlawful in England, Wales and Scotland. Any service suggesting it should be avoided outright.
- Criminal record checks. Not available for tenant screening in the UK. A provider offering one is either misdescribing what they do or operating improperly.
- Providers with no ICO registration. Referencing involves processing significant personal data. Check the register.
Tenant Screening for private landlords
Tenant Screening has supported UK landlords since 2008 and has processed over 90,000 applications. The service is built for self-managing landlords as well as agents. Enter the applicant’s name and email, and the system sends them an application to complete themselves. Once submitted, the team runs the credit search through Equifax, requests and chases employment and landlord references, and a case manager reviews the completed file before issuing a written suitability recommendation.
Pricing starts at £10.95 per check, pay-as-you-go. There is no monthly fee, no setup charge and no requirement to buy credits, which suits landlords who let one or two properties a year.

Frequently asked questions
- How much does tenant referencing cost a landlord in the UK?
From around £10.95 for a basic identity and credit check, rising to roughly £30 to £50 for a full reference including income verification and a landlord reference. The landlord pays; charging the tenant is prohibited.
- Can a private landlord do tenant referencing themselves?
Partly. A landlord can request payslips and phone a previous landlord, but cannot access credit reference agency data directly. Self-collected references are also not usually accepted by rent guarantee insurers.
- What income does a tenant need to pass referencing?
The common benchmark is annual income of at least 25 or 30 times the monthly rent, so £1,000 per month rent implies £25,000 if bills are included and if not, £30,000 a year. Guarantors are usually assessed at a higher multiple.
- Is tenant referencing a legal requirement?
No, but Right to Rent checks are a legal requirement in England for every adult occupier, and they are a separate duty from referencing.
